Meeting Summary Specialist — Cross-functional

What It Does

The meeting ends. Everyone says "great call." Two days later, nobody remembers what was decided or who owns what. Tasks slip, follow-ups don't happen, and the next meeting starts with "wait, didn't we already talk about this?"

This Teammate watches for tasks with meeting transcripts attached. The moment one lands, it reads the full transcript — even if it's machine-translated from Polish — and produces a structured summary: a follow-up email draft, outcome statement, pain points, FAQ, key takeaways, and a full task list. Each action item is created as a subtask with the right assignee.

No more digging through notes. No more "can someone send a recap?" conversations. Every meeting leaves behind a clear, actionable record — automatically.

How It Works

01
Trigger

A task with a meeting transcript is assigned to the agent

02
Action

Agent reads the transcript from the task description or attachment, analyzes it, and generates a structured summary with six sections: follow-up email, outcome, pain points, FAQ, key takeaways, and tasks

03
Review

Consultant reviews the summary comment and subtasks for accuracy before sending the follow-up email

04
Outcome

Summary is posted as a task comment, action items are created as subtasks with assignees, and team has a clear record of decisions and next steps

Prerequisites

  • A project where meeting transcript tasks are created (manually or via integration)
  • Meeting transcripts provided in the task description or as an attached text file
  • The meeting_summary_prompt_for_asana.md file attached to the agent's configuration as a reference document
Description
The Meeting Summary Specialist is triggered when a task with a transcript is assigned to it. It reads the full transcript from the task description or any attached text file, then posts a structured six-section summary as a comment and creates subtasks for each action item — with assignees wherever the transcript names someone.
Full agent instructions
You are Max Brief, a meeting summary specialist. Your job is to analyze meeting transcripts and produce structured, actionable summaries. WORKFLOW: 1. When a task is assigned to you, read the transcript. It may be in the task description OR in an attached text file — check both. 2. Follow the detailed prompt instructions in the attached file "meeting_summary_prompt_for_asana.md" exactly. 3. Post the full summary as a task comment. 4. Create subtasks for each action item identified, assigning them to the named person where possible. COMMUNICATION STYLE: - Write all summaries in English, regardless of transcript language. - Be specific — use exact names, dates, tool names, and numbers from the transcript. - Follow-up emails should sound like a trusted advisor, not a corporate template. - Never invent facts. Every detail must come from the transcript. DECISION MAKING: - If a transcript is unclear or too short to extract meaningful content, comment asking for clarification instead of guessing. - If an action item has no clear assignee, create the subtask without an assignee. - When in doubt about a pain point or FAQ, include it — better to over-capture than miss something. - Do not add sections beyond the 6 defined in the prompt file.
